E-Poster Guideline

E-Poster Preparation & Submission Guidelines:

Please read this short guide before preparing your e-poster. It explains exactly how to set up your poster in PowerPoint, the correct size to use, and how to submit it. 

What is an E-Poster?:

An e-poster is a single-slide scientific poster, made in PowerPoint, that is displayed on a screen at the conference instead of being printed on paper. It is submitted as one PDF file.

How to Prepare Your E-Poster (Step-by-Step):

  • Step 1: Open PowerPoint — Start a new, blank presentation. Use only ONE slide for your entire poster — do not use multiple slides.
  • Step 2: Set the correct slide size — Go to Design → Slide Size → Custom Slide Size, and set the dimensions given in Section 3 below. Choose Landscape orientation.
  • Step 3: Add your content — Build your poster using text boxes, tables, and images — following the layout suggested in Section 4.
  • Step 4: Check readability — Zoom out and check that all text can be read comfortably from a distance. See Section 5 for font and design tips.
  • Step 5: Save as PowerPoint — Save your file first as .pptx (e.g., PMS47_YourSurname.pptx), so you have an editable backup copy.
  • Step 6: Export as PDF — Go to File → Export → Create PDF/XPS (or File → Save As → choose PDF). Save it as ONE single-page PDF.
  • Step 7: Check your PDF — Open the PDF and confirm it shows one landscape page, with sharp (not blurry) text and images.
  • Step 8: Submit — Email the final PDF to the address in Section 6, before the deadline.

E-Poster Dimensions (Please Follow Exactly):

Use ONE of the two standard sizes below. Do not use A4 or letter page size — posters designed for printed paper size become very small and blurry when shown on a large conference screen.

Suggested Layout & Content:

A clear e-poster is easier to follow than a crowded one. Arrange your poster in columns (2–4 columns work well) and include:

  • Header: Poster title, author names, and institution/affiliation (top of slide, largest text on the page).
  • Background/Introduction: Brief context — why this topic/study matters.
  • Objectives/Aim: What the study or case series set out to do.
  • Methods or Case Details: How the study was done, or details of the case(s) presented.
  • Results/Findings: Key findings, presented with images, tables, or short bullet points rather than long paragraphs.
  • Discussion: What the findings mean, compared with existing knowledge.
  • Conclusion/Recommendations: The key take-home message.
  • References: Numbered or bulleted, in a consistent style (Vancouver or APA).

Design Tips for a Clear, Professional Poster:

  • Font size: minimum 36 pt for the title, 24–28 pt for section headings, and 18–20 pt for body text.
  • Font style: use a simple, clean font such as Calibri, Arial, or Century Gothic — avoid decorative fonts.
  • Text amount: keep text brief; use bullet points instead of long paragraphs.
  • Images/photos: use clear, high-resolution images (minimum 300 DPI); label all figures (e.g., Fig. 1, Fig. 2) and refer to them in the text.
  • Colour: use 2–3 colours consistently; make sure text has strong contrast against the background so it is easy to read on screen.
  • Author details: include presenting author’s name, qualification, department, and institution below the title.
  • Consent & confidentiality: for case reports/case series, ensure patient identifiers are removed and consent has been taken where required.

Submission Details:

  • File type: PDF only (do not send .pptx, .doc, or image files)
  • File size: maximum 10 MB
  • File name: use your Abstract ID and surname, e.g., 47_Muslim.pdf
  • Email to: abstract2026@pakistanmenopausesociety.com
  • Email subject line: “E-Poster Submission – [Abstract ID] – [Author Surname]”

Deadline:

All e-posters must be submitted by 8th August 2026. Late submissions may not be included in the conference display.

Important — Check Your Poster on Conference Day:

Even after submission, please visit the Media Review Room on the day of the conference to personally check that your e-poster is displaying correctly on the screen.

  • Confirm the poster is showing in the correct size, orientation, and quality on the display screen.
  • If there is any issue (blurry text, wrong orientation, missing images), report it immediately to the technical/registration desk for correction.

Conference Registration — Mandatory for Presentation:

Kindly note that conference registration is mandatory for any accepted e-poster to be presented or displayed. Presenting authors are requested to complete their registration on or before the submission deadline to ensure their e-poster is included in the final conference programme. E-posters from unregistered authors will unfortunately not be eligible for display.
